Terms & Conditions

Last updated: September 2026

1. Tuition & Lesson Arrangements

Tuition with Polly provides private academic tutoring tailored to each student's individual needs and goals.

Lesson times, frequency, duration and format will be agreed between Polly, the student and/or parent or guardian.

Students are expected to attend lessons on time and come prepared with any relevant materials. If a student is late, the lesson will normally finish at the originally agreed time.

For online lessons, students are responsible for having a suitable device, reliable internet connection and an appropriate environment for learning.

2. Cancellations & Rescheduling

If a lesson needs to be cancelled or rearranged, as much notice as possible should be given.

Cancellations made with less than 24 hours' notice will normally incur a 50% cancellation charge.

This charge may be waived at Polly's discretion in exceptional circumstances.

If Polly needs to cancel a lesson, reasonable notice will be provided wherever possible and the lesson will be rearranged where appropriate.

Repeated cancellations or missed lessons may result in the tutoring arrangement being reviewed.

3. Invoicing & Payment

Invoices are issued by email on a monthly basis unless otherwise agreed.

Invoices should be paid within 14 days of the invoice date.

If an invoice remains unpaid after the payment deadline, future lessons may be paused until payment is brought up to date.

Any questions or concerns regarding an invoice should be raised as soon as possible.

4. Responsibilities & Safeguarding

Students are expected to participate in lessons, make a reasonable effort with their learning and treat the tutor respectfully.

Tuition with Polly aims to provide a safe, supportive and professional learning environment.

For students under 18, parents or guardians remain responsible for the student outside of the agreed tuition session.

Any information shared about a student's academic needs, wellbeing or circumstances will be treated appropriately and confidentially, subject to safeguarding and legal responsibilities.

Tuition with Polly supports students in developing their own understanding and academic skills and will not complete assessed work or examinations on a student's behalf.

5. Ending Tuition & General Terms

Either the parent/guardian, student or Polly may end the tutoring arrangement.

Where possible, reasonable notice should be provided.

Tuition may be ended immediately in circumstances involving serious misconduct, inappropriate behaviour, safeguarding concerns, persistent non-attendance or failure to comply with these Terms & Conditions.

Tuition with Polly aims to support students in making academic progress, but cannot guarantee a particular grade, examination result or academic outcome.

By commencing tuition, the parent, guardian or student confirms that they have read and accepted these Terms & Conditions.

These Terms & Conditions may be updated from time to time. Where significant changes are made, existing clients will be notified.
